ATS Friendly Resume Check: A 12-Point Checklist
A 12-point ATS friendly resume check you can run in ten minutes: format, headings, dates, keywords and the mistakes that quietly cost you interviews.
By SwitchWithAI Team — Career tools, ATS workflows, and job-search research
"ATS friendly" gets said so often that it has stopped meaning anything. Boiled down, it means one thing: the software that stores your application can read it correctly. Your name, your employers, your dates, your skills, all of it, in the right place.
This checklist lets you run an ATS friendly resume check yourself in about ten minutes. It is ordered from the problems that do the most damage to the ones that are mostly polish. Work down it, and finish with a free automated check to catch what your eyes missed.
Part 1: The file
1. It is a DOCX or a text-based PDF
Both are fine. A PDF made by saving or exporting from a word processor keeps real, selectable text. A PDF made from a scan or a screenshot does not. It is a picture of text, and software may see nothing.
Test: open the PDF, try to select a sentence with your cursor. If you cannot, it is an image.
2. Nothing important lives in images
A name designed as a logo, a skills wheel, an icon next to a phone number. If it is an image, it does not exist for a parser. Anything that matters must be real text.
3. No tables or text boxes carrying key information
Tables and text boxes are the most common reason a good resume reads badly. The extracted order can interleave columns into nonsense. If you love a two-column design, it can work, but only if the document is built with real columns and reads in a sensible order. When unsure, copy everything into a plain text file and read it top to bottom. What you see is roughly what a parser sees.
Part 2: The structure
4. Contact details sit in the body of the page
Phone, email and location belong at the top of the main text, not in a page header or footer, which some parsers skip.
5. Section headings are the standard ones
Use Experience, Education, Skills, Projects, and Summary if you include one. Creative headings such as "My journey" or "Where I have been" are charming to people and unreadable to software.
6. Reverse-chronological order within each section
Most recent first. It is what recruiters expect and what parsers assume.
7. One date format, used everywhere
"Mar 2021", "03/21" and "2021-03" in the same document can produce wrong or missing employment dates. Pick one, for example "Mar 2021 – Present", and use it for every role.
Part 3: The content
8. Job titles and company names are written plainly
Put the title and the company on the line the way a reader expects them. Avoid clever internal titles without a plain-language equivalent if you can, for instance "Software Engineer (Backend)" instead of just "Code Wrangler".
9. Bullets start with what you did, and show a result
"Responsible for payments" describes a duty. "Cut failed card payments from 4.1% to 2.6% over two quarters" describes an outcome. Open each bullet with a strong verb and, wherever it is true, add a number. If you do not have a number, describe the scope: how many people, systems, customers or rupees were involved.
10. The job's language appears where it is true
Read the posting and note the skills and phrases it repeats. If your experience includes them, use the same words. If it does not, do not add them. Claiming a skill you lack gets you an interview you cannot pass. Our guide to finding the right keywords in a job description shows how to do this without stuffing.
11. The length is sensible
One to two pages for most people. A very thin resume suggests evidence you left out. A very dense one hides your best points. Cut anything a fifteen-second skim would not miss.
12. The filename is professional
FirstName_LastName_Role.docx is fine. resume_final_v7_REAL.docx is not. It is a small signal, but it is free to fix.

Run the automated check
Your eyes will miss things, so finish with software. The free ATS resume checker covers contact details, section headings, dates, results, bullet openers, length and, when you paste a job, how much of its language you already use. Upload the file, not just the text, to catch layout problems, and your resume is not stored.
Try it on yours
Upload or paste your resume and see what a parser makes of it.
Your resume is read for the check only and never stored. No account is needed.
Would rather read first? How the tailoring works.
For a deeper look at why mixed dates, columns and images cause trouble, read resume formatting that survives parsing. If your resume passes the format check but still is not getting responses, the problem is usually content, and the resume review gives line-by-line suggestions on your actual bullets.
What "ATS friendly" cannot promise
Be sceptical of anyone who guarantees results. An ATS friendly resume removes one avoidable reason for being overlooked. It cannot control how many people apply, what a recruiter prefers, or an employer's private rules. Read our explanation of what ATS is and why resumes get rejected for what happens after you apply.
Frequently asked questions
What makes a resume ATS friendly?
Real selectable text, standard section headings, consistent dates, contact details in the body, a clean reading order and no key information locked in images, tables or text boxes. Content matters too: results over duties and the job's language where it is true.
Is a PDF or DOCX better for an ATS?
Both work if the PDF is text-based. A DOCX is the safest default. Avoid PDFs created from scans or screenshots, where the text is an image and cannot be read.
Can I use a template and still be ATS friendly?
Yes, but check it. Many designer templates use tables, text boxes or graphics that scramble the reading order. A template is fine if the underlying document reads cleanly in plain text.
Do ATS systems reject resumes automatically?
Many systems collect and organise applications for a recruiter to search and sort. Whether any filtering happens depends on the employer's setup, which you cannot see. The practical goal is simply to make sure your resume is readable and relevant.
How long does an ATS friendly resume check take?
About ten minutes by hand with this checklist, and a few minutes with an automated checker.
